Microsoft 365 can connect a firm's email, documents and collaboration tools. That convenience makes its configuration worth reviewing carefully. One account may reach several parts of the firm's working environment, and a setting chosen during an old migration may still shape today's access. A small law firm does not need to change everything at once. Begin with a documented review of sign-ins, privileged access, sharing and the process for removing access when someone leaves.

Confirm how sign-ins are protected

Ask your administrator which policy currently governs multifactor authentication. Microsoft offers security defaults through Entra ID Free and Conditional Access with appropriate Entra licensing. Business Premium includes Entra ID P1, but the firm's actual subscriptions and configuration should be checked. The firm should know who controls its tenant, domain and licensing, and how authorized leadership can obtain assistance if the usual administrator is unavailable. Document the recovery process securely without putting passwords into an ordinary shared checklist.

Review external sharing as a workflow

Choose a fictional client document and walk through the sharing process. What link type is selected? Who can open it? Can the recipient edit it? How does staff revoke access when the collaboration ends? Microsoft allows administrators to configure sharing options at organizational and site levels, including default link types and certain guest-access restrictions. Test the departure checklist

Use a fictional employee to review the sequence for removing access, transferring work, handling shared resources and retaining information under firm policy. Confirm responsibility for active sessions and access to connected applications as well as the core account. Have the firm's legal and records owners determine preservation and retention requirements. Disabling access and deleting information are different decisions. Staff should know which steps need approval and which person makes that decision.

Define what will be checked next

Finish with a short findings list: the setting or process reviewed, the evidence, the owner and the next action. Schedule a follow-up after material changes such as hiring, an office move or a new application integration.
